Who we are

United Dhillon Trucking Lines (“UDTL”, “we”, “us”) operates this customer portal to give shippers visibility into their freight — orders, live tracking, documents and updates. This policy explains what personal information the portal collects, why, and the choices you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

What we collect

  • Account information — your name, work email address, phone number, role and the company you belong to. Provided by you or by your company’s administrator when your account is created.
  • Shipment information — orders, pickup and delivery addresses, contact names and phone numbers on stops, commodities and charges. Entered by UDTL staff or imported from your order documents.
  • Location data — GPS positions of UDTL trucks carrying your freight, received from our telematics provider. We track our vehicles, not people or personal devices.
  • Communications — comments you post on orders, notification preferences, and delivery of the emails/SMS you asked for.
  • Technical data — sign-in events and actions taken in the portal (an audit trail), and the session cookies needed to keep you signed in.

How we use it

  • To operate the portal: authenticate you, show your company's orders, and power live tracking and ETAs.
  • To send the notifications you or your company requested — order status changes, delivery updates, digests and reports.
  • To keep records of dispatch activity, comments and account changes for accountability and support.
  • To secure the service: detect misuse and enforce role-based access.

We do not sell personal information, and we do not use it for third-party advertising.

Email & SMS consent (CASL)

We only send commercial electronic messages with consent. Portal users consent when activating their account; notification-only contacts consent through an emailed consent link before receiving anything. Every non-essential email includes an unsubscribe link, and SMS supports STOP — opting out takes effect immediately. Transactional messages (e.g. password resets, account invitations) are sent as needed to operate your account.

Who we share it with

We share personal information only with the service providers that run the portal — cloud hosting and database services, our email and SMS delivery providers, and our vehicle telematics provider — each bound to use it solely to provide their service. Some providers process data in the United States. We may also disclose information where the law requires it.

Your company's visibility

The portal is organization-scoped: users see only their own company’s orders. Your company’s administrators manage who at your company has access, and UDTL staff can see order data needed to move your freight.

Retention & your rights

We keep shipment records for as long as needed for operations, and to meet legal, tax and insurance obligations. Deactivated accounts stop having access immediately. You may ask us to access, correct or delete the personal information we hold about you — contact Dispatch@udtl.ca and we’ll respond promptly. If you’re not satisfied, you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If we make material changes, we’ll update this page and note the new date above. Continued use of the portal after a change means you accept the updated policy.
